I REFER to the letter headlined ''Query about personal data'' (South China Morning Post, June 16). As part of our performance pledge scheme, the Transport Department is launching a Best Licensing Service Award for the counter staff in our four licensing offices. The sponsorship of Shell Hongkong Limited (Shell) includes the donation of 10 trophies and prizes to the counter staff nominated by our customers, plus printing of posters and forms. Apart from these, the Transport Department does not receive any financial benefits from Shell. Nor does Shell have any involvement in the nominating process. As part of the publicity arrangement, we have sent out letters to about 60,000 holders of vehicle and driving licences whose licences expire in June 1993, drawing their attention to this scheme. The addresses were extracted from this Department's licensing records and printed on to labels direct from Government computers. There is no transfer of any personal or vehicle data from this Department to any outsider. The nomination forms received from customers are counted by auditors in the Transport Department to ensure fair play. Once counted, they will be destroyed on completion of the event. Information concerning the nominations will not be retained thereafter.E.S.W. LEE for Commissioner for Transport
