Continuing our series on writing tasks, today we  focus on collecting  donations. Students may seek donations for school development projects or a charitable organisation.

It's practical to learn to write such letters, as  fund-raising has become increasingly important in education and other sectors.

Here are some guidelines:

introduce yourself

mention the beneficiaries of the donation

explain why the donation is needed

describe the methods through which the donation can be made

personal greeting

reply slip (optional)

Example 1

Dear Ms Ferguson,

We are a group of students from St Michael's School who are involved in fund-raising activities for the Homecare Group, a newly established charity which helps  elderly people in Hong Kong.

As you may be aware, there is an increasing need for homecare services for the elderly. Many of them live alone and they are physically weak.

Staff at the Homecare Group deliver meals to these people every day and clean their homes from time to time. The staff members even cut the hair of the elderly. The  majority of the beneficiaries live in small flats in public housing estates. Since most  of them have little  income, such voluntary services are in great demand.

If you are interested, please make a  donation to our  HSBC account (210-09090-2200101), or send a cheque to the Homecare Group  at: Unit B, G/F, Lok Yin House, Lok Ming Estate, Shamshuipo.

You are also welcome to send the cheque to our school,  with 'For the Homecare Group' written on the top left-hand corner of the envelope.  If you wish to become a volunteer, you can call the Homecare Group at  2561 1111.

Dear Mr Chan,

I am writing on behalf of the students at your alma mater. The school is hoping   to upgrade its facilities to  improve  the learning atmosphere.

As you may recall, some facilities, like the music room and the library, were built decades ago and have very limited space. The library cannot accommodate more than 15 students at a time.

The expansion work is due to start before the end of the year. It will also include an expanded canteen, a computer room and additional sports facilities, along with a small garden next to the school's entrance.

We are looking forward to studying in a more spacious and modern environment.
